STUDENT TERMS & POLICIES

By enrolling in lessons with Coach Music Academy ("Coach Music Academy", "Coach", "we", "us", or "our"), you agree to the following Terms & Policies.

1. ENROLMENT

Enrolment at Coach Music Academy is ongoing and continues until cancelled in accordance with these Terms.

Your enrolment reserves a recurring lesson time with your coach and secures your place within our timetable.

Lesson places are limited and cannot be guaranteed without an active enrolment and up-to-date payments.

Coach Music Academy reserves the right to amend lesson schedules, coaching allocations, class structures, lesson formats, and timetables where reasonably required.

2. FEES & PAYMENTS

Tuition fees are paid by recurring direct debit on a fortnightly basis.

By enrolling, you authorise Coach Music Academy to process recurring payments using your nominated payment method.

Lesson fees reserve your ongoing position within the timetable and are payable regardless of attendance.

A failed payment fee of $5.50 may be charged for any unsuccessful debit attempt.

Where an account remains overdue, Coach Music Academy reserves the right to:

• suspend lessons;
• restrict access to makeup lesson bookings;
• withhold participation in events or performances;
• cancel enrolment; and/or
• recover outstanding amounts.

Students must have an active and financial account to attend lessons, book makeup lessons, or participate in Academy events.

Except where required under Australian Consumer Law, no refunds are available for missed lessons, change of mind, scheduling conflicts, holidays, or unused lesson credits.

3. ATTENDANCE

Students are expected to attend their scheduled lessons regularly.

Late arrival does not extend the scheduled lesson time.

Students who arrive late will forfeit any missed lesson time.

No credits, refunds, extensions, or makeup lessons will be provided for lateness.

4. LESSON CANCELLATIONS

Students who are unable to attend a lesson must cancel through the Coach Music Academy App at least twenty-four (24) hours before the scheduled lesson time.

The App will not permit lesson cancellations within twenty-four (24) hours of the lesson commencement time.

Lessons cancelled with less than twenty-four (24) hours notice are considered attended and are not eligible for:

• makeup lessons;
• credits;
• refunds;
• transfers; or
• rescheduling.

This policy applies regardless of illness, work commitments, school commitments, travel, family circumstances, or unforeseen events.

5. MAKEUP LESSONS

Makeup lessons are offered as a courtesy and are not a guaranteed component of enrolment.

To receive a makeup lesson credit:

• the lesson must be cancelled through the Coach Music Academy App with at least twenty-four (24) hours notice; and
• the student's enrolment must remain active and financial.

Eligible makeup lesson credits will appear within the Coach Music Academy App and may be booked into available classes.

Makeup lessons:

• are subject to availability;
• may be with a different coach;
• may be conducted in a different class format;
• are issued to the individual student only;
• are non-transferable; and
• have no cash value.

Coach Music Academy does not guarantee availability of makeup lessons at specific times, locations, or with particular coaches. Coach Music Academy is a heavily booked singing school.

6. MAKEUP LESSON EXPIRY

All makeup lesson credits expire ninety (90) days after the original missed lesson date.

Unused makeup lessons automatically expire after ninety (90) days.

Expired makeup lessons cannot be reinstated, extended, refunded, credited, transferred, or exchanged.

Students must maintain an active enrolment and have no outstanding fees to book or attend makeup lessons.

7. MISSED MAKEUP LESSONS

If a student fails to attend a booked makeup lesson for any reason, the makeup lesson is forfeited.

No replacement lesson, refund, credit, or additional makeup lesson will be provided.

8. CANCELLATION OF ENROLMENT

To cancel an enrolment, written notice must be provided to hello@coachmusicacademy.com.au at least fourteen (14) days prior to the intended cancellation date.

Tuition remains payable throughout the notice period.

Upon cancellation:

• all future lesson bookings will cease;
• all unused makeup lesson credits immediately expire;
• lesson times may be offered to other students; and
• previous lesson times cannot be guaranteed if the student later re-enrols.

Any accrued makeup lessons not used prior to cancellation will be forfeited.

9. LESSON SUSPENSIONS

Students may request a Lesson Suspension to temporarily pause their enrolment while retaining their regular lesson time.

• Lesson Suspensions are available for a minimum of two (2) weeks and a maximum of eight (8) weeks per calendar year.
• A $10 Suspension Fee applies for each lesson suspended.
• Suspension requests must be submitted in advance via completing our form https://www.coachmusicacademy.com.au/lesson-suspension
• Regular lesson fees will automatically resume at the end of the suspension period.
• Students who are only absent for a short period may wish to utilise a makeup lesson instead. Makeup lessons expire ninety (90) days from the original lesson date.
• Lesson Suspension requests must be submitted separately for each enrolled student.

Coach Music Academy reserves the right to approve or decline Lesson Suspension requests.

10. COACH ABSENCE

Where a coach is unavailable, Coach Music Academy may:

• provide a substitute coach;
• reschedule the lesson;
• issue a makeup lesson credit; or
• provide a payment adjustment.

The remedy provided will be determined at the sole discretion of Coach Music Academy.

11. EVENTS, WORKSHOPS & PERFORMANCES

Coach Music Academy may offer Performance Days, Masterclasses, Workshops, Concerts, Showcases, and other special events throughout the year.

Participation in these events may incur additional fees.

Event registrations, tickets, and participation fees are generally non-refundable unless required under Australian Consumer Law.

Coach Music Academy reserves the right to alter venues, dates, schedules, presenters, coaches, formats, or event structures where necessary.

12. STUDENT CONDUCT

Students, parents, guardians, and guests are expected to behave respectfully toward staff, coaches, students, and visitors.

Coach Music Academy reserves the right to suspend or terminate enrolments where behaviour is:

• abusive;
• threatening;
• discriminatory;
• disruptive;
• inappropriate; or
• detrimental to the learning environment.

No refund will be provided where enrolment is terminated due to misconduct.

13. HEALTH, SAFETY & LIABILITY

Students participate in lessons, rehearsals, performances, workshops, and Academy activities at their own risk.

Students and parents/guardians are responsible for advising Coach Music Academy of any medical conditions, injuries, allergies, disabilities, or circumstances that may affect participation.

Parents and guardians remain responsible for supervising children before and after lessons and events.

To the maximum extent permitted by law, Coach Music Academy shall not be liable for any loss, injury, damage, theft, expense, or claim arising from participation in Academy activities.

Coach Music Academy accepts no responsibility for loss, theft, or damage to personal property.

14. CHILD SAFETY & WELLBEING

Coach Music Academy is committed to providing a safe, inclusive, and supportive environment for all children and young people.

We have zero tolerance for child abuse, bullying, harassment, discrimination, or inappropriate behaviour.

Our commitment includes:

• maintaining a child-safe environment for all students;
• ensuring all coaches and staff hold valid Working With Children Checks where required by law;
• encouraging students to speak up if they feel unsafe or uncomfortable;
• treating all students with respect, dignity, and fairness; and
• taking all concerns regarding child safety seriously.

Parents, guardians, students, staff, and visitors are expected to contribute to a safe and respectful environment at all times.

Any child safety concerns should be reported to Coach Music Academy as soon as possible.

15. MEDIA CONSENT & RECORDINGS

Coach Music Academy regularly photographs, films, and records lessons, performances, workshops, concerts, masterclasses, showcases, and other Academy-related activities.

These photographs, videos, recordings, and images may be used for:

• student progress tracking;
• educational purposes;
• staff training and quality assurance;
• social media content;
• website content;
• promotional materials;
• advertising campaigns;
• printed marketing materials; and
• other business-related purposes.

By enrolling, students and parents/guardians acknowledge and consent to the capture and use of photographs, video recordings, audio recordings, and performance footage involving the student.

Students may appear individually or as part of a group in promotional content produced by Coach Music Academy or its authorised media partners.

Coach Music Academy may engage professional photographers, videographers, and content creators to capture material at performances, concerts, workshops, and special events.

Where practical, Coach Music Academy will accommodate requests for a student not to appear in promotional materials. Requests must be submitted in writing to hello@coachmusicacademy.com.au.

While reasonable efforts will be made to honour such requests, complete exclusion from group photographs, audience footage, and event recordings cannot always be guaranteed.

No compensation, royalties, or payments will be provided for the use of photographs, videos, or recordings captured during Academy activities.

16. STUDENT PROGRESS RECORDINGS

Coach Music Academy may record lessons, performances, assessments, and other educational activities for student feedback, progress tracking, quality assurance, educational, and training purposes.

These recordings may be made available to students at Coach Music Academy's discretion and remain the property of Coach Music Academy.

17. PRIVACY

Coach Music Academy collects personal information for the purposes of:

• managing enrolments;
• scheduling lessons;
• processing payments;
• communicating with students and families;
• delivering educational services; and
• complying with legal obligations.

Personal information is handled in accordance with applicable Australian privacy legislation.

Information will not be sold to third parties and will only be disclosed where required to provide services, process payments, comply with legal obligations, or protect the rights and safety of students and staff.

18. REFUNDS

Except where required under Australian Consumer Law:

• tuition fees are non-refundable;
• missed lessons are non-refundable;
• makeup lesson credits are non-refundable;
• event registrations are non-refundable;
• expired lesson credits are non-refundable; and
• partially used billing periods are non-refundable.

Refunds may be issued where Coach Music Academy has made an administrative or billing error.

19. CHANGES TO THESE TERMS

Coach Music Academy reserves the right to amend these Terms & Policies at any time.

The most current version published on our website, student portal, or mobile application shall apply.

Continued enrolment and participation in lessons constitutes acceptance of any updated Terms & Policies.
